Are vendors who have submitted sealed bids/proposals required to be present at the bid/proposal opening?

A

Bid/proposal openings are open to the public, but bidders are not required to be present.

Q

When are responses to RFP's made available for public inspection?

A

Sealed Proposals are not public record, until such time as the City provides notice of a decision or intended decision pursuant to Florida Statute 120.53, or within 10 days after proposal opening, whichever is earlier.

How do I obtain one of the Bids/RFP's advertised on this website?

A

To obtain the Bid or RFP document electronically, you must register as a supplier.  Once your registration is approved, you may log in to the system and download the Bid/RFP document.   If you experience technical difficulties and are unable to download the bid via the Internet, you may visit the Purchasing Division to obtain a copy.  Mailed documents will be at the bidders cost.

What is the benefit of getting my bid electronically from the website?

A

The bidder is able to view the bid immediately and will have instant access to the most up to date version of the bid in the event that an addendum is issued.    It is very common for the City to issue addendums, and many are issued three business days prior to the bid opening.    Most bids may be submitted electronically, which allows the bidder to work on the bid, save the bid as work in progress, and later  return to the bid for electronic submission prior to the bid opening.

Where is the City of Boca Raton Purchasing Department located?

A

The Purchasing Department is located in Boca Raton City Hall at 201 W. Palmetto Park Road.  For directions, click here.  Due to City security regulations, all City Hall visitors must present valid I.D.  Hours of operation are between 8 a.m. and 5 p.m., Monday – Friday, excluding Holidays.

My company's address and/or name has changed.  How do I officially update this information?

A

As an approved supplier, you are responsible for updating your supplier registration data.    By logging in to the system you can edit your supplier registration information at any time.   The system will email you with a confirmation that your registration has been amended.

How can I receive notification of sealed Bids and RFP’s relevant to my company?

A

Based on the commodity codes selected at time of supplier registration, the City will make every effort to email your firm a solicitation notice for formal Bids or Request for Proposals that match the commodity codes you registered for.  To view all current formal bid notices,  please visit the website link for Bidding Opportunities.
